16537545 Canada Inc., operating as Realtor Lead (“Realtor Lead,” “we,” “us,” or “our”), provides advertising and appointment-setting services to residential property management companies. This Privacy Policy explains what personal information we collect through realtorlead.io, through our calls, emails and messages, and while delivering services to our clients, and how we use, share and protect it.

We are based in Ontario, Canada and handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is responsible

16537545 Canada Inc. is responsible for the personal information described in this policy. Our founder, Prabh Khokhar, is accountable for our privacy practices and handles privacy questions and requests.

Information we collect

Information you give us

When you book a call (for example, a free Door Growth Audit) through the scheduling form on our site: your name, email address, phone number, the number of doors you manage, and anything else you choose to tell us about your business.
When you contact us by email, phone, text or chat: your contact details and the content of your message.
When you become a client: business and billing contact details, signatures on agreements, and the information needed to run your campaigns, such as access to your advertising account. Payments are processed by our payment provider; we do not store full payment card numbers.

Calls and meetings

We may record and transcribe sales, onboarding and account calls held by video conference or phone so we keep accurate notes. Recording is indicated at the start of the call. If you prefer not to be recorded, tell us and we will not record.

Information collected automatically

When you visit realtorlead.io, we and our service providers automatically collect technical information such as your IP address, browser and device type, the pages you view, how you arrived at the site (including which ad you clicked), and whether you watched our videos or booked a call. This is collected through cookies, pixels and similar technologies, described below. The ROI calculator on our site runs in your browser; the numbers you enter are not sent to us.

Information from others

We may receive information about you from advertising platforms such as Meta (for example, if you respond to one of our ads) and from people who refer you to us.

How we use your information

To schedule, prepare for and hold the calls you book, and to follow up about them.
To respond to your questions and requests.
To provide, manage and bill for our services, and to report results to our clients.
To measure and improve our advertising, including telling advertising platforms when a visit or booking resulted from an ad.
To send you information about our services, where permitted. You can opt out at any time.
To keep our systems secure, prevent misuse, and meet legal, tax and accounting obligations.

We do not sell your personal information.

Phone calls and text messages

If you give us your phone number, for example when booking a call, a member of our team may call you about your booking or inquiry.

We send text messages only to people who have agreed to receive them. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also email prabh@realtorlead.io.

We do not share mobile phone numbers, text-message opt-in data or consent records with third parties or affiliates for their marketing or promotional purposes. Service providers that help us deliver messages or support you may process this information only on our behalf.

Cookies, the Meta Pixel and advertising

Our site uses the Meta Pixel and similar technologies from our scheduling and video providers. These let us see which ads bring visitors and booked calls, improve our campaigns, and show our ads to people who may be interested in them, including people who have visited our site. Meta may combine this information with other information it holds under its own policies.

Your choices:

Block or delete cookies in your browser settings. The site will still work, although embedded videos and scheduling may be limited.
Control the ads you see on Facebook and Instagram in your Meta ad preferences.
Opt out of interest-based advertising from participating companies at youradchoices.ca (Canada) or optout.aboutads.info (United States).

Information we handle for our clients

When we run campaigns for a property management company, the landlords and property owners who respond to those ads share their information with that company. We handle that information on our client’s behalf: we store it in the client’s customer relationship management system and follow up by phone, email and, with consent, text message. Follow-up calls may use automated or AI-assisted voice technology where permitted by law.

For those individuals, the property management company’s own privacy policy applies. If you responded to an ad for a property management company and have a question about your information, contact that company directly; we will help them respond. You can also contact us.

Where your information is stored

We are based in Canada, but many of our service providers are located in the United States or elsewhere. Your information may be stored and processed outside Canada, where it may be accessible to courts, law enforcement and national security authorities under local law.

How long we keep it

We keep personal information only as long as we need it for the purposes described in this policy, including to meet legal, tax and accounting requirements. When we no longer need it, we delete it or make it anonymous.

How we protect it

We use reasonable administrative, technical and physical safeguards, including access controls and secure, reputable service providers, to protect personal information against loss, theft and unauthorized access, use or disclosure. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

You can ask to access the personal information we hold about you, ask us to correct it, withdraw your consent to our use of it (subject to legal or contractual limits), or ask us to delete it. Email prabh@realtorlead.io. We may need to verify your identity, and we will respond within 30 days.

You can unsubscribe from marketing emails using the link in any email, and opt out of text messages by replying STOP.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Children

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

We may update this policy from time to time. The “Last updated” date above shows when it last changed. If we make significant changes, we will take reasonable steps to let you know.
